The Role
Joining a collaborative legal team, you will take ownership of managing administrative support workflows and legal secretarial duties for a dedicated group of lawyers specialising in public liability insurance matters. Key responsibilities include:
Workflow & Administrative Management: Overseeing and coordinating daily administrative support workflows to act as the key driver in keeping the legal team operating at peak efficiency.
Legal Documentation & Advice: Formatting, drafting, editing, and finalising critical legal documents, court pleadings, statutory notices, lists of documents, and tailored advice letters for complex insurance matters.
Brief Preparation: Assembling and preparing comprehensive briefs to counsel, expert medical witnesses, and assessors.
Appointment & Expert Coordination: Scheduling independent medical examinations (IMEs), court dates, mediation sessions, and client conferences.
Diary & Schedule Tracking: Meticulously tracking critical court dates, managing busy calendars, and organising key meetings with clients, counsel, and insurers.
File Structure & Court Management: Managing electronic court filings via online portals and taking charge of end-to-end digital file structures from initial opening through to archiving.
Billing & Financial Administration: Processing monthly fee earner billings, tracking time entries, managing disbursement invoicing, and handling trust/office entries.
Stakeholder Liaison: Serving as a welcoming, professional, and reliable primary point of contact for internal team members, insurer clients, claims managers, barristers, opposing legal teams, and court registries.
What You Need to Succeed
Proven experience as a Legal Assistant or Legal Secretary in public liability matters is essential.
Defendant-side insurance legal experience is preferred, though highly experienced applicants with a plaintiff background are encouraged to apply.
A proven track record of long tenure in previous positions, reflecting your reliability, commitment, and loyalty.
Strong proficiency in court portal filing, document formatting, and legal practice management software.
Outstanding communication skills, meticulous attention to detail, and a genuine desire to contribute positively to a warm, non-competitive team culture.
